Group Size Explanation:
- World Traveller/Euro Traveller: Group size is 10 or more passengers on all sectors.
- World Traveller Plus/Club World/Club Europe/Club on Domestic: Group size is 7 or more passengers on all sectors.
- First class: Group size is 4 or more passengers on all sectors.
- Minimum group size is based on the lowest cabin of travel.
- Example: 5 passengers in World Traveller and 5 passengers in Club World Travel do not qualify as a group since the minimum group size is 10.
Pricing for Children and Infants:
- Children aged 2-11 included in the group will be charged at the Agreed Rate.
- Infants aged 0-2 will be charged at 10% of the Agreed Rate, provided they do not occupy a seat. If an infant occupies a seat, they will be charged at the Agreed Rate.
Deposits:
- Required for Group Bookings to secure seats at the agreed rate.
- No deposit needed for infants without a seat.
- Deposit amount: 40% of fare or £40.00 (whichever is greater).
- British Airways can change deposit amount and date.
- Changes will be communicated in Booking Confirmation.
- Inform airline group booking if paying via Bank Transfer or Payu, UPI.
- Failure to submit deposit by due date cancels Group Booking.
- Organizer liable for claims, liabilities from cancellation.
- Receipt provided for all payments received.
- Late deposit treated as new booking request, subject to availability and rate changes.
- Deposits non-transferable, Terms and Conditions apply.
- Group Bookings within 10 weeks of departure: No deposit required.
- Full payment due within 72 hours of booking or at time of booking for imminent travel.

Full payment received, names of passengers must be provided. Deadline: 3 weeks before departure, or at the time of booking if within 3 weeks. Conditions may vary for bookings with other airlines. Contact our team for details. Group tickets issued via e-ticket system. Organiser responsible for timely name submission. Failure to provide names results in automatic cancellation. Even if payment made, cancellation forfeits pre-paid baggage, seating, catering, and car hire payments. Organiser liable for outstanding sums. Required information:

(b) Emergency contact for US citizens
(c) Organiser’s email and mobile
(e) Any additional required info by British Airways.
Name Change Policy:
- Prior to ticket issuance: Free name changes.
- Once tickets are issued: Name changes allowed with a service charge of £60.00 per change.
- Changes must be made at least 72 hours before departure.
- Name change requests must be made verbally to our coordinator.
- Email requests for name changes are not accepted.
- Only the Group Organiser or authorized individuals can request name changes.
- Airports and airline offices cannot make name changes for Group bookings.
- Name changes are not permitted after departure.
Amendments/Cancellations/Refunds/Fare Rules
- Tickets : Non-endorseable and non-refundable. Taxes, fees, and carrier charges may be refundable. Carrier-imposed charges are non-refundable unless involuntary. Contact our Group Booking consultant for details. Administration fee: £50 per passenger pre and post ticket.
- Upgrades: Permitted anytime, subject to availability and payment of additional charges, including fare level increases. Minimum group size must be maintained in at least one direction. Changes to Group Nett rate and any increase in Deposit/Final Balance must be paid during confirmation. Contact Group Sales for upgrades.
- Changes/Deviations: Group Organiser may request up to 20% of Group size as changes/deviations for specific passengers, up to 72 hours before departure. Subject to availability and collection of increased Group Nett rate, taxes, fees, and carrier-imposed charges. Each passenger must have one sector in common with the main Group.
- Changes/Deviations: Prior to ticket issuance – free. Post ticket issuance – reissue fee: £50. Whole Group changes at the discretion of our Group Sales team, unless involuntary. Change fees/rate increases may apply. Full cancellation: Deposit and Full Payment non-transferable/refundable. No changes after travel commencement. Changes/Deviations and Name Changes may be restricted if other airlines are involved.
